Xerox printer Prompts Replace Toner Cartridge When the Cartridge Has Toner

If the “Replace Toner Cartridge” prompt appears even when the toner cartridge is sufficiently filled, the machine may still be prompted to replace toner cartridge. If the toner cartridge is sufficiently filled but the prompt persists, over 90% of the time, the machine is not dispensing toner properly.

How Toner Dispensing Works?:

During printing, when the sensor on the developer unit detects low toner, the machine initiates a toner replenishment task. During this time, the toner cartridge rotates and delivers toner to the developer unit through the toner dispensing channel.

Possible causes and solution:

1. The machine is not dispensing toner due to abnormal toner cartridge rotation

When the machine prompts that toner is being replenished or calibrated, check that the toner cartridge is rotating normally. It is difficult to see the toner cartridge while it is rotating inside the machine. It is recommended to mark the transmission gear inside the toner cartridge or weigh the toner cartridge (if dispensing properly, the cartridge will be lighter) to verify proper operation and toner dispensing.

2. The machine is not dispensing toner due to abnormal toner replenishment into the developer

Check if the toner inlet of the developer unit is blocked and whether toner is being replenished normally. This requires disassembling components and carefully inspecting them. If the toner inlet or toner discharge channel is blocked, preventing toner from being replenished, the machine will not be dispensing toner. In this case, clean the toner discharge channel and inlet.

3. The machine is not dispensing toner due to a missing carrier in the developer unit

If the developer unit is missing developer, toner can easily flow into the waste toner container. The sensor will detect insufficient toner concentration and will continuously prompt the machine to “Replace Toner Cartridge”. In this case, check the waste toner container to confirm the problem and fill the necessary amount of developer to the developer unit.
